Why it exists
Compliance admin is not the job, but it stops the job.
Australian builders carry real obligations around who they put on site, and the evidence for those obligations arrives as photographs, PDFs and email attachments from dozens of small businesses who are busy doing the actual work. Keeping it current is nobody’s favourite part of the week and everybody’s problem when it slips.
Most of the effort goes on two things that software should be able to absorb: asking people for documents that are about to expire, and finding out what you currently hold. SubSure takes those on. It is deliberately not a project management tool, a site diary, an inbox, or a document store with compliance bolted on the side.
The narrowness is the point. A product that answers one operational question precisely is more useful than one that answers ten approximately.
Principles
The decisions that shaped it
These are constraints the product is built around rather than features it advertises. Each one closes off an easier path that would have made SubSure worse.
AI reads, rules decide
A model extracts what a document says. Deterministic rules decide whether that meets a requirement. The two never merge, in either direction.
Nothing is evidence until a person says so
Extracted values are confirmed by the person who supplied the document before they count for anything.
Evidence is preserved
Superseded documents are kept, decisions are logged, and the rules in force at the time are recorded with them.
The subcontractor owes us nothing
No account, no app, no password. They are doing a favour by sending a photo, and the product is designed on that basis.
A status means one thing
Blocked means do not put this person on site. It never quietly comes to mean someone should take a look.
Failures are visible
A message that did not send, a document that could not be read, a reminder nobody answered — each one surfaces with a way forward rather than being absorbed.
